Role Overview

We are seeking an experienced Production Coordinator with a proven track record at video production agencies. The ideal candidate will have extensive experience working with clients from sectors like healthcare, government, education, and the nonprofit space. You will play a key role in overseeing pre-production logistics, managing location scouting, and ensuring seamless coordination to bring projects from planning stages to production days.

Key Responsibilities

  • Pre-Production Management:
    Lead pre-production efforts, ensuring all elements (scripts, schedules, permits, budgets, and talent coordination) are meticulously organized.
  • Location Scouting:
    Identify, secure, and manage locations that meet the creative and logistical needs of each project.
  • Production Day Coordination:
    Serve as the key point of contact on production days, managing schedules, crew, and talent, and ensuring that each project runs smoothly and stays on budget.
  • Client Collaboration:
    Work closely with clients and our internal teams to ensure that project goals are aligned and expectations are met at every stage of production.
  • Vendor and Crew Management:
    Oversee the hiring and coordination of external vendors, crew members, and other essential production personnel.

Qualifications

  • Minimum 5 years of experience as a Production Coordinator, ideally at a video production agency with clients in healthcare, government, education, or nonprofit sectors.
  • Proven expertise in pre-production management, including creating detailed production schedules, budget tracking, and resource allocation.
  • Experience in location scouting and familiarity with securing permits and negotiating location agreements.
  • Ability to oversee all aspects of production day logistics, ensuring projects are delivered on time and within budget.
  • Excellent communication and organizational skills, with the ability to manage multiple projects simultaneously.

Preferred Experience

  • Experience working with clients in healthcare, government agencies, schools, universities, museums, or nonprofits.
  • Familiarity with production management software and tools, such as Google Workspace, Trello, and Airtable.
  • Existing network of location contacts in Los Angeles County or Southern California more generally is a plus.
